ensuring competent and professional management of the facilities management unit, which will lead to efficient and affordable operational delivery.
The post holder will be expected to work closely with all stakeholders in the company and communicate with service providers to find affordable, effective solutions to any facility-related questions and issues.
Competencies and Experience
minimum of four or five years of administrative experience
a strong command of Microsoft Word, Excel, and Outlook

Roles and responsibilities
The Facilities Help desk email account (fault tracking and feedback to impacted business units, record fault reporting to the proper service provider, reporting on statistics as per help desk)
Gather and keep track of any administrative needs for the Facilities team that are not computer-related.
All procurement tasks for the Facilities Management Unit (processing requisitions, managing payments to suppliers, requesting bids, bench marking for cost-effective / quality assurance / best delivery time frames choices)
The Facilities Management Unit’s whole financial operations (invoice receipt and payment monitoring)
Control the facilities unit’s operating expenses (cost containment) (Selecting the most affordable options)
Administration of the E-Payroll services and management of the cleaning teams, goods, and equipment
processing every vacation request and keeping track of every attendance
Organize the space Storeroom
RECEPTION
Greets visitors on-site, ascertains the nature of the visitor’s business, notifies the relevant staff, and coordinates with building security all incoming visitors to guarantee the safety of all staff.
Answers the phone and connects the caller with the proper party or division. When the individual is not present, will transfer a caller to the proper voice mailbox, and/or takes and/or retrieves messages for various staff.
